Who we work with

The work changes shape at each stage of a medical career. So does the advice.

Residents and fellows

A simple return with expensive things hiding in it. Moving expenses between training sites, tuition carryforwards, licensing and exam fees, and the first decisions about RRSP room.

Self employed and locum physicians

Billing income with nothing withheld at source. We set up the bookkeeping, plan instalments so the bill is never a surprise, and track the expenses that actually qualify.

Physicians about to incorporate

A written answer on whether incorporating helps you yet, and if it does, the structure, share classes and year end date set up properly the first time.

Incorporated physicians

Monthly bookkeeping, T2 corporate returns, slips, payroll, and a compensation plan reviewed each year rather than repeated from last year.

Physician families

Personal returns for you and your spouse prepared alongside the corporation, so the corporate and personal picture agree and nothing gets double counted or missed.

Doctors winding down

Retirement from practice takes several tax years to do well. Drawing down retained earnings, corporate investment income, and eventually dissolving cleanly.

What is included

Every engagement is built from these components. Which ones you need depends on your stage and structure, and we will tell you honestly if you do not need something.

Bookkeeping

Monthly or quarterly

Your corporation's books kept current all year rather than reconstructed under pressure at year end. Everything runs on cloud software you can see into whenever you want.

  • Bank and credit card reconciliation
  • Billing and remittance tracking
  • Digital receipt capture
  • Shareholder loan account maintained
  • Corporate investment reconciliation
  • Monthly profit and cash summary

Corporate tax

Each fiscal year end

Financial statements prepared for filing and a T2 return that reflects how your practice actually operates, filed on time with the payment deadline flagged well in advance.

  • Financial statements for your year end
  • T2 corporate return and schedules
  • T4 and T5 slips
  • Ontario annual information return
  • Instalment schedule for the year ahead
  • Prior year cleanup where needed

Personal tax

Annually

Returns for you and your family, prepared with the corporation in view rather than in isolation. Most physician tax errors happen at the seam between the two.

  • T1 returns for you and your spouse
  • Dividend and salary reporting
  • Professional dues and CME claims
  • Rental and investment schedules
  • Instalment planning
  • Prior year adjustments

Payroll

Monthly

If the corporation pays you, your spouse or an assistant, payroll has to run properly and remit on time. Late source deductions attract penalties quickly and are entirely avoidable.

  • Payroll account registration
  • Regular pay runs and pay statements
  • Source deduction remittances
  • T4 slips and summary
  • Records of employment
  • Reasonable salary documentation

Planning and advisory

Year round

The decisions that actually move the number. We raise these before year end, when they can still be acted on, rather than reporting on them afterwards.

  • Salary and dividend mix each year
  • Passive income and the small business limit
  • Timing large practice purchases
  • Corporate versus personal savings
  • Family compensation where permitted
  • Planning around parental leave and sabbaticals

CRA support

As needed

If a letter arrives, you forward it and stop thinking about it. We handle reviews, information requests and the follow up correspondence on your behalf.

  • Review and information requests
  • Documentation assembled and submitted
  • Adjustment requests
  • Payment arrangement support
  • Late and unfiled prior years
  • Authorisation to deal with CRA directly

How fees work

No hourly billing and no charge for picking up the phone.

Scoped first

We ask about your structure, your billing volume and the state of your records before quoting anything. A quote given without that is a guess that gets revised later.

Flat fee in writing

You get a written scope and a fixed fee by email within one business day of the consultation. Nothing starts until you accept it.

Questions are free

Ongoing clients are not billed for emails and calls. A tax question you avoid asking because of the meter is the expensive kind.

Common questions

Do you only work with doctors?

Physicians are the focus, and the practice is built around them. We also work with a small number of other incorporated professionals, but the systems, the checklists and the planning conversations are designed for medical practice.

Do I have to charge HST on my billings?

Most services a physician provides to patients are exempt supplies, which means no HST is charged and no input tax credits can be claimed on the related costs. Some work is not exempt, including many third party medical reports, independent medical examinations and certain cosmetic procedures. If you do enough of that work you may cross the registration threshold, so it is worth checking rather than assuming.

When is my corporate return due?

Six months after your fiscal year end. The tax owing is usually due earlier: three months after year end for a Canadian controlled private corporation claiming the small business deduction, and two months for others. Filing and paying are two separate deadlines and interest runs from the payment one.

Can you take over mid year from my current accountant?

Yes, and you do not need to wait for year end. We request your prior year file and closing balances, review what is there, and tell you before quoting if anything is missing. You also do not need to have an awkward conversation first. A professional handover is routine.

What software do you use?

QuickBooks Online or Xero for bookkeeping, with secure document sharing for anything sensitive. Nothing sensitive travels by email attachment.

How often will I actually hear from you?

A monthly summary if we are doing your books, a compensation review before your year end, and a proper review meeting when your returns are ready. Between those, as often as you need. That is what the flat fee is for.

Tell us what you need

A short call is usually enough to work out the right scope and give you a fee.
